1. Who does this policy apply to?
This policy describes how the Wikijeff.Co website works and the exchanges initiated through its Contact page. It does not replace any specific confidentiality terms that may be agreed upon for a project.
For a question or request about your information, use the contact form, and include “Privacy” in your message.
2. The information you share
The form lets you send a message containing your name, email address and a description of your needs. Your company name, the expertise you are looking for and the collaboration schedule are optional. Required fields help identify you, reply to you and understand your request.
You can also use the contact form. You choose which information to share. Keep your message to what is useful for an initial conversation and avoid including passwords, financial data or sensitive information about other people.
3. How does the form work?
The “Send my message” button sends the fields to the website’s server over an HTTPS connection. The server checks the information and passes the message to the email system for delivery to Wikijeff.Co. The confirmation indicates that sending has been accepted; it is not a read receipt.
The custom form does not create a request record in the WordPress database. The message is processed by the hosting and email services. A fingerprint of the IP address is temporarily used to limit repeated submissions; its counter expires after 15 minutes without a new authorized attempt. The hosting provider’s technical logs may follow their own retention periods.
4. Why is this information used?
The information you submit is used to reply to your request, clarify your goals, prepare a proposal and follow up on your inquiry. If you engage Wikijeff.Co’s services, information needed to deliver and administer the project may also be used for those purposes.
The form does not subscribe you to a newsletter or trigger an automated campaign. Any separate use requiring your consent must be explained beforehand. You may choose not to provide certain information, although that may limit the ability to respond to your request.
6. Data access and disclosure
Jeff is the recipient of your request. Services needed for hosting and email may be involved in processing the information. Their identities, authorized access and processing locations must be confirmed for the final website.
Depending on the providers selected, information may be processed outside Québec. Checks and safeguards required by applicable laws must be completed before such a disclosure. Any other disclosure must rely on your consent or on authorization provided by law.
7. Retention and protection
Retention must be limited to the time needed for the stated purposes, subject to applicable legal obligations. Initial inquiries and project records may have different requirements. Specific retention periods and deletion procedures, including for backups, remain to be confirmed for the final policy.
Safeguards must be appropriate to the sensitivity of the information and the risks, including restricting access and securing the accounts used. Safeguards for email and the business’s other tools must be verified separately.
8. Your rights and requests
Subject to the conditions set out by law, you may request access to your information, its correction and, where the right to data portability applies, a computerized copy in a structured and commonly used format. You may also withdraw consent to a use or disclosure based on that consent, subject to applicable obligations.
Submit your request in writing through the contact form. Reasonable verification of your identity may be required. Access or correction requests are subject to the legal response period of 30 days. A deletion request will be assessed in accordance with the law and retention obligations; this right is not absolute.

9. Changes to this policy
This policy must be reviewed when the website’s operation or information-processing practices change. The update date appears at the top of the page. Any significant change will be brought to your attention through an appropriate means, and new consent will be requested when required.
